Although it is important to track reservations and know who your customers are, that information is limited in its value if you cannot summarize the data and analyze what it has to tell you. This is where the reporting system of RCMS can help. In this initial release, we have 4 main report groups:

  • Trends
  • Reservations
  • Customers
  • Tables

All reports can be exported to Adobe pdf, Excel csv or to a common text file that can then be used in any standard application.

Trends Report

The trends report allows you to see how values in your restaurant have changed over time. You can look at:

  • number of reservations (can be separated into phone reservations or walkins)
  • number of customers (can be separated into phone reservations or walkins)
  • group size
  • customer wait times
  • customer stay lengths

You can select the time periods that most interest you, perform a sum for those periods (sum by hour, every two hours, daily etc.), select only certain days of the week and group the output results. All of this can be shown to you in a report and / or a chart.

Reservation Report

You can use the reservation report to print out a list of the reservations for any given time period. The most common use is to have the list at the front reception area for those that do not have a computer.


Customer Report

There are really three customer reports. One is a standard customer listing that is designed to show you the customers for your restaurant. With this report, you can select the customers that you want to see based on a number of criteria (number of visits between certain dates, group sizes, phone numbers etc) and then you can sort the results.

The other two reports are designed to show you your new customers and your lost customers. A new customer is defined as someone that has been to your restaurant one or more times since a particular date (that you define), but had never been there before. A lost customer is defined as a customer that has not been to your restaurant since a particular date (that you define), but had been there one or more times before that date.

These customer reports are designed to assist you in directing your marketing campains to particular customers.

Table Report

The table report is designed to show you which tables are required at which times. The report can be generated for any number of days and you can select the entire day or only specific hours that you want to view.
